Event Fields

This document explains the purpose of each field available when setting up a new regular event in CalendarFix. Regular events provide a public link for anyone to book a meeting with you.

Event Name

Enter a title for the event. For example: "CalendarFix Demo".

Initial Message

The text user will send to initiate the booking process. This text will always start with "I want to book". For example, "I want to book a meeting with XYZ."

Description/Welcome Message

This message is sent as a response to the initial message. If left blank, default value will be used.

Use this to welcome participants or provide additional context.

Thank You Message

A follow-up message expressing gratitude to the participant. If left blank, default values will be used.

You can choose to disable it if you like.

Thank You Message Attachment

Allows you to attach files or media with the thank you message.

Cancellation Message

Add a custom message for cancellations. This is sent when a user cancels an already booked event.

Questions

The user journey can be customized based on the kind of questions you ask them during the booking process. Here are the type of questions that you can ask:

  1. Name question: The first and foremost of all questions, this is a mandatory question where we ask for the user's name. You can customize the text for the question.
    As a business, you can skip asking them their name if they have previously booked with you.

  2. Email question: This is an optional question and can be deleted. However, you can choose to make it mandatory as well. Moreover, you can customize the text for this question too. Please note that email and push notifications would be sent to this email.

  3. Custom question: You can ask any number of custom questions like MCQ, Text, Location, Contact and File upload. Additionally, you can make these questions mandatory to answer.

    1. MCQ Questions: You can create a question with a pre-defined set of options. You can also choose to allow the user to select multiple options from the same.

    2. Text Questions: You can create questions with textual answers expected. Moreover, you can add validations to these questions like the answer needs to be an email, URL, a number between two digits, a regular expression, date etc.

    3. Location Questions: You can create questions that ask the user to share a location. This need not be their current location.

    4. Contact Questions: You can ask questions that require user to share contacts. Additionally, you can send meeting confirmations and reminders to these shared contacts.

    5. File Upload Questions: You can ask questions that require user to upload files. Moreover, you can ask them for specific types, number and size of files too.

Maximum Scheduling Limit

Restricts how far in advance invitees can book an event.

Event Duration

Specifies the length of the event. If you select multiple durations, you can allow users to choose the duration.

Meeting Location

Select the meeting location type based on your event needs. You can choose a single location type or a combination of the available three options: Call, Meet link, In-person.

  1. Call: This would require you to provide a phone number that will be shared on event confirmation.

  2. Meet link: You can paste any meeting URL here. If you leave this empty, we would create a unique Google Meet link using the calendar you would have synced.

  3. In-person: When doing offline meets, you can share your meeting location details and link. Additionally, you can ask for user's location too.

If you leave your location empty when booking a in-person meeting, the user would be asked to share their location by default.

Minimum Notice

Sets a buffer period before an event can be scheduled. This ensure that invitees can't schedule within this amount of time of an event start time.

Available Hours

Define the days and times the event is available for booking. You can create multiple intervals on a single day if required. Uncheck a day, if you'd like to disable booking for it.

Slot Start & End Time

Specify the timeframe within which slots can be booked. Any slots beyond this timeframe are neglected.

Event Start & End Time

Specify the event time to be shared with the invitee.

Notifications

Choose the type of notifications and reminders for the event. You can set email, push and WhatsApp reminders. WhatsApp notifications consume notification credits when more than 1 reminder is sent per booking.

Overlapping Limit Count

Restricts the number of simultaneous bookings for a time slot.

Allow Rescheduling

Enables invitees to reschedule their bookings.

Notify on Initiation

Send yourself an email notification as soon as a booking is initiated.

Add teammates

Add your teammates as default guests to the event automatically.

When enabling WhatsApp notification, if you select to send it to everyone instead of invitee only, teammates are also sent these notifications. Note that notification credits would be deducted for the same.

Add pre-set email guests to the event automatically.

Collect Payment

Enable payment collection for bookings. When enabling, you can customize the messages being sent while collecting payment. You can choose to collect payments after booking confirmation too. The custom fields include:

  1. Order Title: The reason for payment

  2. Order Message: This is sent to the user before a payment request is sent.

  3. Order Confirmation Message: This is sent to the user when a payment is made.

  4. Total amount: The order amount.

  5. Discounted amount: The final order amount. You can keep the discounted amount equal to the total amount.

  6. Tax amount: Select tax % to be applied on the discounted value.

Define a webhook URL for integrating external systems and receiving real-time event updates. You can paste your Zapier or Pabbly Connect Webhook URLs here.
